The builder’s reflex
Pass the information on at the moment it can help someone act, separating what is confirmed from what is still uncertain.
Why
Good news can unblock someone else’s work. A risk or a delay can call for a ruling. The urgency comes from those consequences, not only from whether the news is pleasant. An important alert may have to go immediately; a limited difficulty can wait for the agreed check-in.
Flagging an uncertainty does not require having a solution already. State the fact observed, the possible effect on the commitment, and what is still to be checked. Avoid turning every doubt into a definitive announcement, too. The recipients have to be able to see the level of certainty and when you will come back.
The delivery of equipment for a workshop becomes uncertain. The organiser can still borrow a replacement if the information arrives before the preparation. The person following the supplier can flag the risk without deciding on new spending alone, or guaranteeing a date they do not control.
The channel counts. Some subjects call for a direct alert to whoever is responsible, others for a shared tracker or a private exchange. If you are growing a team, say which situations call for a flag and who can act afterwards. A respectful reaction and a useful answer encourage the next reports, without on their own guaranteeing that every difficulty becomes visible.
Try this
On a current commitment, agree which changes to flag and to whom. When one happens, pass on:
“Here is the fact or the risk. Here is what it can change. This part is still uncertain. I need this ruling, and I’ll come back at this point.”
Use the channel that fits the urgency. If the intended person is unavailable and the decision cannot wait, follow the agreed fallback.
At the next check-in, confirm the information was received and a next step was decided. Adjust the arrangement if the alert went unanswered, or pulled in too many people for nothing.
From where you sit
- Product: flag a weakened assumption together with its effect on the decision.
- Operations: use the intended channel when continuity of service is at stake.
- Management: acknowledge receipt and say who takes on what follows.
- Customer relations: get confirmation of what can be announced and when you will come back.
