The shortcut everyone takes is the real process

The symptom

The work you watch differs from the written flow. Some people use a message, a file, or a different check to get to the result.

The signal

Examine the real flow, and what the bypassed step is for, before you restate the rule or adopt the workaround.

What’s going on

A gap is information about the practice. It can come from a missing access, an instruction poorly understood, an emergency, a preference, or a step that has become useless. Several people using it proves neither that it works nor that it is acceptable. It helps you choose where to look.

Requests arrive by direct message rather than through the intended form. The form may be hard to open on the phone people use. The message lets them move, but may leave out information the person taking over needs. Both effects belong in the analysis.

With the people concerned, watch what the workaround makes easier, what it loses, and who that matters to. Some controls protect against a risk even when it has never materialised. If what they are for is still unknown, ask whoever owns the flow for an examination; no immediate explanation does not validate the bypass.

The response can be fixing the access, a better explanation, a framed exception, or a change to the process. It can also be keeping the flow while making it more workable. Do not ask anyone to repeat a risky action just to demonstrate it. An account or a prepared case can be enough to start.

Check this

Choose a case you can reach, and explain you are trying to understand the work, not assess a person. Compare the intended steps to the real ones. Note what each produces, and for whom.

Prepare an improvement with the people who use the flow and the people who depend on it. Get the necessary agreements and the protections to keep confirmed before a bounded trial.

After the trial, examine the effort, the quality of the handover, and the unintended consequences. Update the document if the change is kept. A shorter procedure is only useful if it keeps what counts.
